Recurring collections customers can skip themselves
Why weekly and fortnightly collections keep customers, and how a one-click skip in the reminder email stops them cancelling when they go away.
For a collection business, regulars are everything. A customer who books a weekly collection is worth far more than one who books when they remember. The trouble is that real life gets in the way: holidays, guests, a quiet week. If the only way to pause is to phone you or cancel the whole arrangement, some of them will cancel and never come back.
Make the repeat the default
When a customer books, ask how often: once, weekly or fortnightly. A repeat collection keeps the same day and slot for as long as they want, with the return the same number of days later each time. No rebooking, no remembering.
Book those repeats ahead, a few weeks at a time, before one-off bookings can take the slots. Your regulars should never find their usual slot gone.
Remind, and offer a way out
Two days before each collection, send a short reminder:
We’re collecting on Wednesday, 08:00–10:00. Away that week? Skip it and we’ll see you the week after.
With a Skip this one button. One tap frees the slot for someone else and keeps the arrangement going. It shouldn’t need a password: a customer on a beach won’t log in to anything.
Two details matter:
- The skip link should work once, for that one collection, and run out after.
- Opening the link shouldn’t skip anything by itself. Some email systems open links to check them for viruses. The link should open a page with a button, and the button does the skip.
When you have to close a day
Bank holidays, a van off the road, a week off. When you close a day or a slot, the system should show you which bookings it affects and email those customers the next free slots, rather than leaving them to find out at the door.
What it does for the business
- Fewer cancellations: skipping a week is easier than stopping.
- A fuller, steadier calendar, because regulars hold their slots.
- Less phone time, because customers manage their own weeks.
